Students are required to show their matriculation certificate ( Immatrikulationsbescheinigung) to get any service from the SCIS, e. g. registration for examinatins, defenses etc..

Course examinations

A simple course examination is not needed to be applied with the SCIS.

  1. Contact the examiner and agree an appointment for the examination.
  2. Cancellation of your registration to the examination should be done 14 days (for oral exams) or 3 days (for written exams) BEFORE the examination date.
  3. Collect the certificate from the examiner in charge after the examination, keep it and give a copy to the SCIS.

ATTENTION: Only taking the course examinations is not enough to aquire credits. Credits are given on completed modules only, which requires additional module examinations (see below).

EMCL students:

EMCL students staying at the Technische Universität Dresden, please follow the regulations as described above.
When staying at one of the partner universities, please check and follow the local procedures. Therefore, you may contact the local coordinator. Furthermore, please remember that credits are accepted at partner universities on the basis of modules. Courses not being assigned to completed modules, they are not necessarily accepted at the partner universities.

Basic Module examinations

Written examinations:

Registration period will be announced on time on the web page as well as in an e-mail.

  1. Register IN PERSON by presenting your TUD matriculation certificate ( Immatrikulationsbescheinigung) to the SCIS during the registration period.
  2. Cancellation of your registration to the exam is possible three days BEFORE the examination date at the very latest. Therefore, contact the SCIS giving your matriculation number (Matrikelnummer) and the title of the examination.
  3. In case of illness, you must present a sickness certificate issued on the day of examination or before, a note showing your matriculation number and the title of the missed examination to the SCIS within three weeks after the examination.
  4. Results can be asked from the SCIS during the respective office hours in person.

Oral examinations:

  1. Register IN PERSON by presenting your TUD matriculation certificate ( Immatrikulationsbescheinigung) to the SCIS during the registration period.
  2. Cancellation of your registration to the exam is possible 14 days BEFORE the examination date at the very latest. Therefore, contact the SCIS giving your matriculation number (Matrikelnummer) and the title of the examination. (An e-mail containing this information to be sent to the SCIS and the examiner in time, this will be sufficient as well.)
  3. In case of illness, you must present a sickness certificate issued on the day of examination or before, a note showing your matriculation number and the title of the missed examination to the SCIS within three weeks after the examination.
  4. Results are made known during the examination.

EMCL students:

EMCL students staying at the Technische Universität Dresden, please follow the regulations as described above.
When staying at one of the partner universities, please check and follow the local procedures. Therefore, you may contact the local coordinator.

Advanced Module examinations

  1. Contact the person in charge of the module and agree an appointment for the examination. Make sure there is a second examiner.
  2. Register IN PERSON by presenting your TUD matriculation certificate ( Immatrikulationsbescheinigung) to the SCIS. We advise to do this at least two weeks in advance. (For registrations it is not necessary to have an appointment for the examinations already.)
  3. Complete a registration form for each advanced module examination available from the SCIS. (EMCL students staying at one of the partner universities may use the forms from the SCIS webpage and send them by post.)
    In case the courses have been completed by examination already, you need to present the respective certificates to the SCIS.
  4. The SCIS will issue a protocol form (Protokoll über die mündliche Modulprüfung) and you must present it along with the completed registration form to the examiner. If you do not have these documents or you don't show up for the examination, you cannot be examined, even if you agreed the examination date correctly.
  5. Cancellation of your registration to the examination is possible 14 days BEFORE the examination date at the very latest. Therefore, contact the SCIS giving your matriculation number (Matrikelnummer) and the title of the examination. (An e-mail containing this information to be sent to the SCIS and the examiner in time, this will be sufficient as well.)

Project

A project is not needed to be applied with the SCIS.

After completion of your project work ask your supervisor for a certificate, which contains all relevant information like subject, SWS, grade, matriculation no., student′s name, date and signature of your supervisor. Keep the original certificate and give a copy to the SCIS.

MCL Master Thesis Procedure

Before starting to write the thesis

  1. Select a supervisor.
  2. Ask your supervisor to fill in the form Master's Thesis Application also available from the SCIS.
  3. Check, if you have all official proofs (certificates) for courses, modules and projects you have done. Consider that the defense can be applied for, only if you have completed all requested modules and obtained 90 credits. Contact the professor/university in charge, in case something is missing.

After completion of the thesis

  1. Fix a date for the defense with your supervisor.
  2. Fill in the form Application for Defense of the Master Thesis also available from the SCIS.
  3. Register IN PERSON by presenting your TUD matriculation certificate ( Immatrikulationsbescheinigung) to the SCIS 14 days BEFORE the defense at the latest and inform the SCIS on the date of your defense.
  4. Take two copies of your thesis to the SCIS before the date of defense, but no later than the due date for the hand in, which is given in the form Master's Thesis Application. These copies must be bound, but there is no specification of the style of binding.
  5. Send an e-mail to your supervisor (and possibly his/her secretary) and ask for announcement of your defense through the automatical system. The e-mail should inform on the date, time, venue, title and abstract of your thesis.

After successful defense

Have yourself exmatriculated with the International Office (AAA) after successful completion of your studies.

EMCL Master Thesis Procedure

IMPORTANT:
The student writing the master's thesis is responsible that all steps are taken in time to assure a correct defense.

Master's Thesis Procedure

  1. When starting the thesis work (3 months before submission at the latest):
    (Please note that there are signatures to be collected at the TU Dresden, so these steps cannot be taken at short notice.)
    • Discuss the composition of the Joint Master Commission (JMC) with your supervisor and make him apply it with the JC by sending an e-mail to the chair, Prof. Steffen Hölldobler. (There must be at least one member from UniBz.)
    • Discuss with your supervisor which members of the JMC are goint to write the reviews of the thesis work. (All reviewers must be professors at their institutions.)
    • Make your supervisor apply the thesis work to the SCIS (e-mail sent from the supervisor incl. name of student, date of starting the work, prospective title of the thesis work, name of supervisor, composition of the JMC, names of reviewers).
  2. Submission of the thesis work about 5 weeks before the defense:
    (A shorter period may work as well, but it cannot be garanteed to set up the defense in time.)
    • Send the final version via e-mail to the members of the JMC and the SCIS.
    • Deliver printed copies of the thesis to the university, where you defend.
    • Provide the signed declarations of having prepared the thesis on your own and having used the references and auxiliary means indicated in the thesis, only. (This may be included into the thesis work as an additional page.)
  3. One week BEFORE the defense at the very latest:
    (Please note that in case of vacation or illness this may be too short to assure the defense within one week.)
    • Present documents to the SCIS proving completion of all modules.
    • Make sure that the JMC has been confirmed by the JC before.
    • Make your supervisor present the two reviews to the SCIS. They must include a proposal for grade according to the common grading system.
    • Make sure that you are registered with the TUD.
    (All these documents may be provided as a scan by that time, but they need to be sent in original along with the EMCL protocol after the defense at the very latest.)
  4. After successful defense:
    Have yourself exmatriculated with the International Office (AAA) after successful completion of your studies.
    Additionally, please cancel your health insurance, if necessary.

ATTENTION:
Students defending at NOVA or TUW, please follow the local regulations in addition. Defendening at TUD or UniBz, students need to take care of the following in addition:

  • the JMC must contain at least one member from TUD and UniBz each,
  • two printed copies of the thesis must be given/sent to the SCIS before the defense (The copies must be bound, but there is no specification about the style of binding.),
  • the Application for Defense of the Master Thesis must be given/sent to the SCIS in original before the defense.

Overview on durations regarding the master's thesis

The following part shall give an overview of the periods to be regarded when writing a master's thesis.

preparation of master's thesis: 23 weeks from the starting date given in the application
extension of preparation period: up to 13 weeks to be applied by the regular date of submission at the latest
submission: at least 5 weeks before the defense
latest defense within one semester: September/March 30
latest defense within the grace period: October/April 15

Important Information in the EMCL booklet

  • General Regulations regarding the master's thesis are provided in paragraph 3.26.
  • More details on the master's thesis procedure are provided in paragraph 4.11.
  • Information regarding registration is provided in paragraph 4.7.
  • The Common Grading System is provided in paragraph 3.24.

Transcript Degrees

The SCIS issues transcripts of records (ToR) on request, which can be picked up at the SCIS in person.

Please note:
The number of ECTS Credits cannot be stated for single courses but for completed modules, only.
There are no ECTS Grades given anymore.

EMCL students:

Students staying at one of the partner universities may prefer having sent their ToR in an e-mail. Unfortunately, a ToR cannot be sent via e-mail, for reasons of data security. So if you need it that way, you must explicitly instruct and allow the SCIS to send it in an e-mail.

Important:
EMCL students, who need to have recorded modules, which were achieved at one of the partner universites, they need to require an update from that university to be provided to the SCIS. Only then the complete achievements can be shown in the ToR.
Furthermore, please remember that modules achieved at one of the partner universites, they can be accepted, if a module certificate is being provided by that university, only.
